Overview
In large organizations, software assets tend to accumulate over time—ranging from internal tools to commercial platforms. However, as new trends and requirements emerge, departments often seek out or request new tools without realizing that suitable solutions may already exist within the organization. This leads to redundant software acquisitions, underutilized resources, and wasted budget.
Challenge
Many end-users within organizations are unaware of the full range of tools available to them. As a result, they either don’t leverage existing solutions or push for building or purchasing new systems for tasks that are already solvable with in-house tools. There’s a lack of centralized visibility and intelligent recommendation systems to bridge the gap between user needs and existing software capabilities.
Solution
I proposed and designed a system that registers all software acquisitions and tools into a centralized RAG (Retrieval-Augmented Generation) database. When a user inputs a task or need, the system—powered by a privacy-focused, locally contained RAG+LLM pipeline—analyzes the request and intelligently recommends the most suitable solution. This could be an existing internal tool, a workflow combination, or in rare cases, a recommendation to build or acquire a new system. The architecture emphasizes organizational privacy while maximizing the reuse of existing resources and empowering users with smarter access to solutions.
